When you use the services provided by LARGO, we need to record some of your personal data. It is our policy to handle your personal data with the utmost care and transparency. By means of this privacy statement, we wish to inform you why and how we process your personal data.

This privacy statement applies to all personal data which we process when you make a booking with us, use our services or visit our website or when we contact you. This privacy statement was last modified on 15 May 2018 and replaces all previous versions of this privacy statement.

Who are we?

LARGO aims to provide you with the perfect holiday. In this case, LARGO is taken to mean the limited liability company Roompot Group B.V. Roompot Group B.V. is based in Kamperland, Mariapolderseweg 1 (4493 PH).

Which personal data do we collect and why?

We mainly process your personal data in order to provide you with a perfect holiday. We wish to establish a lasting relationship with you, to ensure that we can also be of service to you in the future and can make targeted offers on the basis of your interests or booking history.

Making a booking

When you book one of the resorts or villas which we offer, we will always record the details which we need from you in order to make the resort or the villa available. Although we offer the resorts for rent ourselves, they are also offered by our partners. This privacy statement also applies if you book through one of our partners. We will draw your attention to this fact once again as soon as we have received your details, unless it would take a disproportionate amount of effort to inform you of this fact or the information needs to remain confidential.

Booking details

Booking details are details about the holiday which you booked with us, such as the resort or villa, date of arrival, date of departure, travel companions, preferences and the source of the request. In order to process your booking properly, we record these details in our booking system.

Name and address details

We need your name and address details in order to register your booking and for the compulsory night register, but for example also to satisfy any obligations relating to taxes and surcharges. If we cannot send certain things to you by email, we will send these by post to the address which you have specified.

Telephone number and email address

We will send the confirmation of your booking to the email address which you have specified, as well as interesting information about the park where you will be staying and the surrounding area. If we have any questions shortly before your visit, we will call you. If we cannot get hold of you, we will also send you an email.

Date of birth

Bookings can only be made by people over the age of 21. Asking for your date of birth allows us to check whether you are authorised to make a booking.

Bank account number:

You can pay for your booking via our secure payment environment or by bank transfer.

Most of the holiday properties will take a security deposit. We only record your bank account number in order to refund your deposit. We will not and cannot deduct money from your account.

If you would like to pay with a credit card, your details will be passed on to the financial institution which processes the payment. We never have access to your credit card details, but can see that you paid using a credit card.

My Largo

Once you have booked a holiday with us, you can activate your personal ‘My Largo’. ‘My Largo’ allows you to see and change your own details and organise your holiday matters online up to 1 day before your arrival. To this end, we record the details which you specified when making the booking. You can also consult your booking history in ‘My Largo’.

Marketing

Newsletters and customised advertisements

Once you have made a booking with LARGO or registered for our newsletter via the website, we will use your email address to send you our newsletters and personalised advertisements. Personalised advertisements mean offers which relate to holidays which display similarities with holidays which you have booked previously. We send out newsletters a maximum of twice a week. When you receive one of our newsletters, we can see whether you received the newsletter, opened it or clicked on a link in the newsletter. You can also unsubscribe via a link in the newsletter.

We will ask you about your interests with regard to holidays. You are naturally not obliged to inform us of your interests. On the basis of your specified interests and/or bookings which you have made in the past, we will ensure that you are only sent targeted advertisements if these tie in with your holiday requirements. This will stop you receiving too many emails. If you do not wish to receive personalised advertisements, you can inform us of this fact at any time by emailing info@largo.nl. In this case, we will ensure that you are removed from the mailing list.

Advertisements on other platforms

We will also use your email address to show you advertisements on Facebook which tie in with your interests. We cannot see which advertisements are shown to which person or whether a Facebook account is linked to your email address. Please let us know if you do not wish to be shown personalised advertisements on Facebook.

Contact with our ambassadors

Our ambassadors will be delighted to help you if you have a question about your booking or your visit. Various contact options are available for this.

Online contact

If you contact us using the contact form on the website or send us an email, your name, contact details and question or comment will be recorded. We need to record these details in order to communicate with you. This also allows us to answer your question quickly and efficiently and find the relevant details.

Contact by telephone

Telephone calls may be recorded for quality checks and training purposes. You will always be informed about the recording of the conversation at the beginning of the telephone call. The recordings are kept for a maximum of three months and are then automatically deleted.

If you contact one of our ambassadors, you may be asked several security questions in order to ensure that your details do not end up with someone else.

Quotation request

If you would like to book a villa, in most cases you will first need to send us a quotation request. We will record the desired date of arrival, date of departure and the number of people so that we can check the availability of the villa. We will also record your name, email address and telephone number so that we can respond to your quotation request.

Insurance

During the booking process, LARGO gives you the option of concluding travel insurance and/or cancellation insurance for your stay. We do this in collaboration with Europeesche Verzekeringen. Europeesche Verzekeringen is ultimately the party which will conclude the insurance, which is why we pass on your details to this party for the conclusion of the insurance policy.

Improving our services

Your opinion is important to us.

We are curious to find out what you thought of your stay. After your stay, you will therefore be asked to complete a survey. We will make internal use of your evaluation of your stay, in order to improve our services.

Use of the website

When you use our website, we will automatically store certain information. This information may include which URL you came from, which URL you visit when you leave our website, which browser you are using, your IP address and the date and time on which you visited our website. We also collect data about the hardware, software and internet browser which you are using.

We use this information in the context of the normal use and management of our website and may release this information in a grouped manner. As the information is grouped, it is not possible to trace the data back to a specific user. We are not interested in data which reveals information about the identity of visitors to our site. However, LARGO is interested in information which says something about the use of the site, such as how many visitors we get. Which hours are busiest and which pages receive most visitors?

Analyses for management information

Data such as your province and country of residence, as well as the composition of your family, may be used to perform analyses for the purposes of management information. However, in this case your data will be completely anonymised and cannot be traced back to you as a person.

Data which we receive from third parties

Sometimes we do not receive data directly from you, but from a different party. For example, if you book one of our villas or resorts through one of our partners, this partner will provide us with specific data which relates to you. This allows us to record and process your booking. Our partners may also pass on questions or changes which relate to your booking or stay. Where reasonably possible, we will inform you of the receipt of your data.

All the information which we receive from third parties may be combined with information provided by you.

Which principles apply?

When processing your personal data, we comply with the rules specified in the General Data Protection Regulation. As a result, we must always have a reason for processing your personal data. Your data is mainly processed when you make a booking. We need this data in order to implement the agreement between you and LARGO. The same applies if you wish to take out insurance through us. If you do not provide us with the required personal data, you cannot use our services.

LARGO has a legitimate interest in processing your data in the context of improving our services, our marketing activities and contacts with our ambassadors. We weigh up your interests and those of the organisation carefully when doing so.

We also need to process some of your data in order to satisfy statutory obligations. For example, in a few cases we are legally obliged to record some of your data in the night register.

If we require more data from you, we will always ask your consent for this.

Which parties do we provide with your personal data?

For the resorts which are under our own management, we are obliged to record your name, town/city of residence, date or arrival and departure in the night register. The municipality may ask us to supply the data from the night register. In connection with the compulsory tourist tax declaration, we also provide the municipality with your postcode, town/city of residence, date of birth, family composition, date of arrival and date of departure on an annual basis.

Once you have made a booking, we will pass on your details to the owner of the resort or villa where you will be staying so they can prepare to welcome you. Although we may manage the park ourselves, it could also be the case that the park is managed by a third party. If the resort or villa which you have booked is outside the European Union, your details will naturally be passed on to the country where the villa or resort is located. However, we will only pass on the personal details which are required for the implementation of the agreement.

Surveys have been subcontracted to a professional party. Once you have made a booking, a limited amount of your details will be passed on to this party to enable them to ask you to complete a survey. You are naturally not obliged to do so. On the basis of the surveys completed by you and other guests, reports will be drawn up and shared with park managers and regional managers. However, these reports do not contain any of your personal details.

In order to manage our systems and provide our services we use the services of third parties, such as IT suppliers. We make sure that these third parties handle your data correctly, if and to the extent that they have access to them.

If you take out an insurance policy through LARGO, the details required for the conclusion of the insurance will be passed on to Europeesche Verzekeringen. This is the party which will ultimately conclude the insurance policy and which will also process any claims.

In order to show you targeted advertisements on Facebook, your email address may be passed on to Facebook.

In the unexpected event of you not paying your invoices on time, we will be obliged to pass on the claim to a debt collection agency or bailiff. The details which are required to recover the debt from you will be passed on to the debt collection agency or bailiff.

How long do we keep your data?

We do not keep your data for longer than required in order to achieve the aims stated in this privacy statement, unless a legal obligation compels us to store the data for a longer period.

We aim to build a lasting relationship with you. Your data will be anonymised as soon as this relationship comes to an end.

Contacts with our ambassadors will be deleted within one year of the contact moment, unless the content of the messages may be important for your booking or any future bookings. Telephone conversations will be deleted after 3 months.

If a quotation request does not lead to an actual booking within one year, your data will be removed from our system. You can naturally send us a new quotation request at any time.

How is your personal data secured?

LARGO has taken various technical and organisational security measures to ensure that your data is protected against loss or unlawful use, such as unauthorised access. We take the current technology and the costs of enforcement into account in order to enable us to guarantee an appropriate level of security in view of the risks involved in the processing and the nature of the data involved. Our policy ensures that only staff members who genuinely need access to your personal details in order to perform their activities are given such access.

Which rights do you have?

Right to access, rectify, restrict and delete your data

If LARGO is processing your personal data, you are entitled to request an extract of the data which has been collected about you. Such requests can be sent to info@largo.nl. You can also send your request in writing to LARGO, Postbus 12, 4493 ZG Kamperland. LARGO will respond to your request within one month.

‘My Largo’ also allows you to check and correct your data.

If the extract shows that your data is inaccurate or incomplete or, in your opinion and in view of the reason why it was recorded in the first place, should not be in LARGO's database, you can ask LARGO to modify, delete or restrict the data. You also have the right to object to the processing of your data. For such requests, you can also use the (email) address or postal address specified above.

If you ask us to modify or delete data which is required for the implementation of the agreement, this may mean that you can no longer use our services as a result.

Right to withdraw your consent

If you have given your consent for the processing of your personal data, you also have the right to withdraw your consent at any time. In this case, we will no longer process your data which was being processed on the basis of your consent.

Complaints

If you have a complaint about the way in which we are using your personal data, you can let us know by emailing info@largo.nl or sending a letter to LARGO, Postbus 12, 4493 ZG Kamperland. We will do our best to resolve your complaint. You also have the right to submit your complaint to the national supervisory authority, the Dutch Data Protection Authority.
